Privacy Policy

1. Who we are

irtaza hassan ("OfficerTrack", "we", "us") operates the OfficerTrack application. For the personal data described in this notice, irtaza hassan is the data controller — we decide how and why your data is processed. Payment data collected at checkout is handled by Paddle.com as Merchant of Record and is covered by Paddle's own privacy policy.

2. What we collect

• Account data: your name, email address, login credentials, agency and rank title, and an optional device PIN (stored only as a salted hash).
• Records you enter: overtime, paid-detail, paycheck, work-schedule and leave entries, goals, notes and notification preferences.
• Documents you upload: pay statements or CSV files you choose to import.
• Support and usage data: messages you send us, basic device identifiers and IP address, and technical logs used to keep the Service secure and reliable.

We deliberately do not collect confidential police operational, case or investigative information — please do not enter it.

3. How we use it and why

• Providing the Service (contract performance): creating your account, storing your records, calculating estimates, and sending alerts you ask for, such as payday reminders.
• Security and fraud prevention (legitimate interest): authentication, PIN lock, audit logging and abuse prevention.
• Product improvement (legitimate interest): understanding reliability and fixing problems.
• Customer support (contract performance / legitimate interest): responding to your requests.
• Legal obligations: keeping records where the law requires it.
• Optional communications (consent): for example, joining the ESS-integration launch list. You can withdraw consent at any time.

We do not sell your personal data, and we do not use it for advertising.

4. Who we share it with

• Service providers that host and operate the Service (cloud hosting, database, email delivery and AI document-extraction providers), bound by contractual confidentiality and data-protection obligations.
• Paddle.com, our Merchant of Record, for the sale of paid plans: subscription management, payment processing, tax compliance and invoicing.
• Professional advisers (legal, accounting) where needed.
• Authorities, where required by law.

Your records are visible only to you. Other members can never see your pay, overtime or leave data.

5. Retention

We keep your data while your account is active. When you delete your account, your personal records are deleted; we may retain limited records (such as transaction and audit logs) where required for legal, tax or fraud-prevention purposes, after which they are deleted or anonymised.

6. Your rights

Depending on where you live, you may have the right to access, correct, export, delete or restrict the processing of your personal data, to object to certain processing, and to withdraw consent where processing is based on consent. You can exercise most of these rights yourself in the app (including exporting and deleting your account in Settings), or by contacting us at support@officertrack.app. If you are in the EEA or UK, you also have the right to complain to your data-protection authority.

7. Security

We protect your data with appropriate technical and organisational measures, including encryption in transit, row-level access controls that lock every record to its owner, optional device PIN locking, and least-privilege access for administration.

8. Cookies

We use only essential cookies and local storage — for example, to keep you signed in. We do not use advertising or cross-site tracking cookies. Your browser settings let you block or delete cookies, though sign-in will not work without the essential ones.
